Cancellation & Refund Policy

This policy applies to every booking made through Sports Camp OS. It's the same policy you accept on the payment screen — nothing here contradicts what you saw when you booked.

1. The short version

  • StaysFree cancellation up to 7 days before arrival. After that, your deposit is non-refundable.
  • Private lessonsFree cancellation up to 24 hours before your session. After that, your deposit is non-refundable.
  • Session cardsFull refund within 72 hours of purchase if you haven't checked in yet. Sessions never expire.

When a refund is due, it's always the full deposit — we never deduct a fee.

2. What you paid online

Your online payment is the booking deposit, charged by Sports Camp OS, operated by Level Up Samui Limited Partnership (59/34 Moo 5, Ko Samui, Surat Thani 84320, Thailand). The charge appears on your card statement under our platform name — not the camp's. The remaining balance is paid directly to the camp when you arrive; it never passes through us, and this policy only concerns the deposit.

3. How deadlines are counted

All deadlines are counted in the camp's local time zone — Indochina Time (UTC+7). To cancel, message the camp or write to support@sportscampos.com with your booking reference; the cancellation counts from the moment your message is sent.

4. If the camp cancels

If the camp cancels your booking, can no longer host you on your dates, or leaves or is suspended from the platform before your arrival, you get a full refund of your deposit — whatever the date, no questions asked.

5. Date changes

Want different dates? Ask the camp or write to us at least 7 days before your arrival. Subject to the camp's availability, your deposit carries over to the new dates at no cost. One move per booking; closer than 7 days to arrival, the cancellation rules above apply instead.

6. No-shows and early departures

If you don't arrive and haven't cancelled, the booking counts as a late cancellation: the deposit isn't refunded, and nothing more is ever charged by us. Once your stay has started, the deposit is no longer refundable; if you leave early, anything about the balance is between you and the camp.

7. Events outside anyone's control

We refund your deposit in full, even inside the windows above, if your stay becomes impossible because of:

  • a government travel ban that applies to your trip,
  • a declared public-health emergency,
  • a natural disaster affecting the camp's area,
  • the camp being legally required to close.

Personal circumstances — a refused visa, a cancelled flight, an injury before the trip, or a change of plans — aren't covered by this list; the normal windows apply. We recommend travel insurance for those cases.

8. EU customers

Because your booking is for accommodation and leisure services on specific dates, the EU 14-day right of withdrawal does not apply (Article 16(l), Directive 2011/83/EU). The free-cancellation windows above apply instead.

9. How refunds are paid

Refunds are issued by Sports Camp OS to the original payment card, usually within 5–10 business days of approval — you get an email when the refund is sent. Refunds are made in Thai Baht (THB); your bank sets the exchange rate, and small differences from currency conversion or bank fees aren't covered.

10. Before you dispute a charge

If a charge looks wrong, write to support@sportscampos.com before opening a dispute with your bank — we resolve most issues in a few business days, while a card dispute typically takes two to three months. We answer card disputes with our records of your booking and your acceptance of this policy.
